We have one 15 seater LSU minibus available for club and society use.  All other vehicles are booked on outside hire for use by our registered drivers.

 
Criteria for driving Union minibuses
 
Drivers 15 seat vehicles must be aged 21 or over and held a full, clean UK driving licence for a minimum period of at least two years.
 
 
The licence must be clean (preferably), but no more than 1 current conviction. People who have had accidents in minibuses or have convictions other than speeding will attract additional premiums which can be as high as £100.
 
To register prospective drivers will need a full UK Driver’s licence (card and paper copy), and a passport size photograph. They will be given forms to complete and a Driver’s handbook (this must read before attending the workshop). An appointment will be made for an on-road driving assessment.
 
A few points to bear in mind:
 
  • Insurance excess charges, i.e., if any driver is held responsible for any damage the excess charge is £500. The club will be responsible for paying the full insurance excess if the damage is over the above amounts or, the club will be invoiced for the full damage cost if the damages are below the excess.
  • Seatbelts/inappropriate behaviour: These must be worn at all times and the driver must ensure that passengers wear them. Similarly if any passenger is behaving in an inappropriate manner, the driver can ask them to leave the vehicle at any time.
 
How to book a minibus
 
The buses must be booked in advance, but it is possible to book at short notice on off-peak days (Monday, Tuesday and Thursday).
 
AU clubs: complete a booking form from the AU Office, please get the forms signed by Ann Wilson or Becky James in the AU Office.
Non AU clubs: complete a yellow booking available form from Union Reception, but remember to get it countersigned by Catherine Ashton, Societies Administrator, Jason Painter or Lucy Padolsey .

These forms must be returned to Union Reception when authorised, either by a member of AU staff or Clubs and Societies Administrator. The club will receive a confirmation e-mail to say the vehicle has been booked.
 
Note: If journeys involve distances of more than 75 miles in one direction, then two drivers will be needed. Clubs who are taking part in contact sports must have a second driver irrespective of the distance travelled. Also, when collecting keys, drivers must show their minibus driving pass and also hand in the yellow passenger sheet, make sure he/she is given that information or else the club could end up with no minibus!!
 
Encourage but not force all eligible drivers to register, i.e., it is not fair that the onus falls on one or two club members to do all the driving. Drivers will need to keep all petrol receipts to claim back any fuel costs – (see AU staff or  Societies Administrator for information on the rate you can claim back.
 
Volunteer drivers are available but there is a very strict code of practice which must be followed; any club failing to stick to this code could incur serious financial penalties.
 
HOW MUCH WILL IT COST?
 
 The costs are: £80 per day. Deducted from your Union account at the end of each month.
 
 
Cancellation charges -   Buses must be cancelled within minimum of 2 working days or full charges will apply.
